An assessment should support decisions, not simply satisfy a filing requirement

The assessment is shaped by the building, its use, the people affected, the fire-safety measures and the way responsibility is exercised. It records what was examined, the information provided and any limitation that affects the findings.

Controlled assessment process

Scope, inspect, evaluate, report and review

The work begins before attendance by confirming the premises and available information, then tests the physical and management arrangements against the actual use of the building.

Confirm scope

Define the areas, use, occupancy, responsible-person arrangements, history, deadline and records available for review.

Inspect

Examine accessible areas and relevant precautions in the context of the people, activities and evacuation arrangements.

Consider whether existing precautions and management controls address the significant fire risks identified.

Record findings, priorities, limitations, responsible-person actions and matters requiring specialist evidence.

Before attendance

Information that makes the inspection and report more useful

Missing information does not automatically prevent an assessment, but it may create a limitation, require further evidence or alter the scope.

Building and occupation

Address, use, size, storeys, construction information, numbers and characteristics of occupants, sleeping accommodation and access.

Existing fire-safety evidence

Previous assessments, plans, strategy information, maintenance certificates, alarm records, emergency-lighting records, fire-door information and action history.

Management and change

Responsible persons, tenants, contractors, evacuation arrangements, staff information, incidents, alterations and known concerns.

Limitations and specialist evidence

A visual risk assessment must not pretend to be every other discipline

The agreed assessment may identify that further evidence is required. This protects the client from false certainty and keeps responsibility with the competent person undertaking the specialist work.

Examples of separate specialist work

Intrusive compartmentation surveys, detailed fire-door inspections, electrical inspection and testing, alarm or emergency-lighting design, smoke-control testing, structural fire engineering and hazardous-process expertise.

How it is reported

The assessment states the relevant observation or information gap, explains why it matters and identifies a proportionate next step rather than inventing an unsupported conclusion.

Review and management

The report is a starting point for controlled action

The responsible person must act on the significant findings and keep the assessment up to date. There is no universal expiry date: review frequency reflects the premises, complexity and risk, with earlier review after relevant change, deterioration, incident or reason to doubt validity.

Which premises can J7 assess?

J7 undertakes fire risk assessments for commercial workplaces, HMOs, managed residential common parts, landlords, managing agents and suitable portfolio instructions. The quotation confirms the precise premises and areas included.

Does a fire risk assessment have a fixed expiry date?

No universal expiry date applies. The assessment must be reviewed regularly and when there is reason to suspect it is no longer valid or there has been a significant relevant change. The report should identify an appropriate review point for the premises.

What is needed before an inspection is booked?

The address, use, approximate size, occupancy, areas in scope, access arrangements, deadline and any existing assessment or relevant fire-safety records allow J7 to confirm the correct scope and fee.

Commercial arrangements

Payment on account and approved account terms

The quotation confirms the payment arrangement for the instruction before booking.

Payment on account

The accepted quotation states the payment required on account and the event when it must clear. The instruction is not eligible for booking or commencement until that requirement, or an approved written account route, is confirmed.

Approved account clients

Written account or portfolio terms may be agreed for approved clients. Credit is not assumed: the accepted quotation states the authority, limit, due event and terms applying to the client and instruction.

Clear before work starts

The quotation records the scope, fee, VAT treatment, mandatory cost, payment schedule, booking trigger and any balance condition before J7 commits the work.

Service appointments, remaining delivery obligations and final deliverables remain subject to the accepted quotation and J7 Fire Ltd’s current controlled Terms and Conditions.
